# Box AI automation and integrations

> Box has a mature REST API with OAuth 2.0, JWT and Client Credentials Grant authentication, signed webhooks, and built-in integrations in n8n, Zapier and Make. It suits regulated document workflows such as contract intake, metadata extraction and compliance monitoring. The Box AI API can extract and answer questions on content inside Box, though access depends on your Box plan.

- Category: Docs & Productivity
- Vendor: https://www.box.com/
- How to connect: Built-in n8n Box node and trigger; Zapier and Make apps; Box Platform REST API; Webhooks; Box AI API
- Authentication: OAuth 2.0 for user-based apps, or JWT and Client Credentials Grant for server-to-server apps
- Notes: Server-to-server apps run as a service account and must be authorized by a Box admin before they work. The service account only sees folders that are shared with it, which is a useful way to keep an automation's reach narrow.

## What you can automate with Box

- **Metadata extraction on upload.** When a document lands in a folder, extract key fields with an LLM or Box AI and write them to a Box metadata template for search and reporting. Guide: https://www.lumeor.studio/guides/ai-document-data-extraction/
- **Contract intake and routing.** Classify new agreements, pull parties, dates and value, and route them to legal or finance with a summary. Guide: https://www.lumeor.studio/guides/automate-contract-intake-and-routing/
- **Compliance document monitoring.** Track policy, certificate and license documents, flag expirations and summarize what changed between versions. Guide: https://www.lumeor.studio/guides/ai-compliance-document-monitoring/
- **Knowledge assistant over Box content.** Answer staff questions from approved Box folders with citations, respecting what each user is allowed to see. Guide: https://www.lumeor.studio/guides/build-rag-knowledge-assistant/
- **Vendor onboarding packets.** Create a vendor folder, collect W-9, insurance and banking documents, and check each one for completeness before approval. Guide: https://www.lumeor.studio/guides/automate-vendor-onboarding/
- **Claims document intake.** Sort photos, estimates and reports submitted for a claim and extract the details an adjuster needs into the claims system. Guide: https://www.lumeor.studio/guides/ai-insurance-claims-intake/

## What makes Box easy to automate

Box was built as a content platform for other software, so its API is broad: files, folders, versions, collaborations, metadata templates, retention, tasks, Box Sign and webhooks. Webhooks fire on file and folder events, are signed with primary and secondary keys, and can be scoped to a single folder. n8n, Zapier and Make all have Box integrations, and the official SDKs handle token refresh and retries.

The harder part is administrative. Server-side apps need Box admin authorization, and the service account model surprises teams the first time a working app returns empty folders. Agree on the app type, scopes and folder sharing with your Box admin before writing any workflow logic.

## The AI layer

Box holds contracts, policies, claims files and other documents that people read slowly. AI shortens that reading:

- **Extraction to metadata.** Pulling fields into Box metadata templates makes documents searchable and reportable. See [how to extract data from documents with AI](/guides/ai-document-data-extraction/).
- **Monitoring.** Watching for expiring certificates or changed policy language, as in [compliance document monitoring](/guides/ai-compliance-document-monitoring/).
- **Question answering** over approved folders, with answers that cite the file and version.

Box AI covers some of this natively. Whether to use it or build around an external model is a classic [custom vs off-the-shelf](/compare/custom-ai-agent-vs-off-the-shelf/) decision.

## Limits to plan around

- **Rate limits.** Box allows about 1,000 API requests per minute per user, 240 upload requests per minute per user, and tighter limits on search. It returns 429 with a retry-after header.
- **Service account visibility.** The app sees nothing until folders are shared with it.
- **Plan gating.** Box AI API access and some governance features depend on your Box plan and AI unit purchases. Check before designing around them.
- **Large files.** Uploads above the single-request size need chunked upload sessions.

## How Lumeor typically connects it

We set up a Client Credentials Grant app with a service account limited to specific folders, receive Box webhooks in n8n or a small service, and process files idempotently by file ID and version. Extracted fields go back into a Box metadata template and into the business system that needs them. For [contract intake](/guides/automate-contract-intake-and-routing/), a reviewer approves the extraction in Slack or Teams before anything is routed.

## Frequently asked questions

### Should I use Box AI or an external LLM for document extraction?

If your plan includes Box AI API access and the documents never need to leave Box, Box AI keeps data in one place and writes cleanly to metadata. An external model through n8n or code gives you model choice, custom validation and the ability to combine Box content with other systems. Many teams start with one document type on each and compare.

### Does n8n have a Box integration?

Yes. n8n has a built-in Box node for files and folders and a Box Trigger node for webhook events. Box AI endpoints and metadata operations not covered by the node can be called with the HTTP Request node.

### Why can't my Box app see our folders?

Server-to-server apps authenticate as their own service account, which starts with no access. Share the specific folders with the service account, or use the as-user header for impersonation if your admin allows it. Also confirm a Box admin has authorized the app.

### Is Box suitable for healthcare or legal documents in an AI workflow?

Box is widely used for regulated content, but the whole workflow must be compliant, not only the storage. For health data you need a BAA with every vendor that touches PHI, including the model provider, and access logging end to end.
