# Clio AI automation and integrations

> Clio Manage is one of the easiest legal practice management systems to automate. Any firm can register a developer app for its OAuth 2.0 API, webhooks cover matters, contacts and activities, and Zapier supports Clio Manage. The best AI automations are client intake, time entry drafting, document and deadline summaries and billing follow-up, built so client confidences stay inside vendors the firm has vetted.

- Category: Industry Systems
- Vendor: https://www.clio.com/
- How to connect: Clio Manage API v4; Webhooks; Zapier app (Clio Manage); n8n HTTP Request node; Clio App Directory listing
- Authentication: OAuth 2.0 authorization code flow through a developer app registered on the Clio developer portal for your region
- Notes: Apps and tokens are region-specific, so a US app does not work against Clio's EU, Canadian or Australian hosts. Webhooks expire after at most 31 days and must be renewed on a schedule, or events quietly stop.

## What you can automate with Clio

- **Client intake to matter.** Read web form or email inquiries, run a conflict-check search, draft the intake summary and create the contact and draft matter for an attorney to approve. Guide: https://www.lumeor.studio/guides/automate-client-intake-for-law-firms/
- **Time entry drafting.** Turn calendar events, emails and document activity into draft time entries with narrative descriptions that attorneys edit and release. Guide: https://www.lumeor.studio/guides/ai-time-entry-drafting-for-professional-services/
- **Document and correspondence summaries.** Summarize long documents or email chains on a matter into a short note with dates, parties and open questions, saved to the matter. Guide: https://www.lumeor.studio/guides/ai-legal-research-summaries/
- **Contract first-pass review.** Compare an incoming contract to the firm's playbook and list deviations with clause references for the responsible attorney. Guide: https://www.lumeor.studio/guides/ai-contract-review/
- **Invoice follow-up.** Find overdue bills and draft polite, matter-aware reminders for the billing team to send, never touching trust account transactions. Guide: https://www.lumeor.studio/guides/automate-accounts-receivable-collections/
- **Email to tasks.** Turn client and court emails into Clio tasks with due dates and assignees, flagged for a paralegal to confirm. Guide: https://www.lumeor.studio/guides/ai-email-to-task-automation/

## What makes Clio easy or hard to automate

Clio Manage has a mature REST API and a developer portal that any firm can sign up for. Matters, contacts, activities (time and expense entries), calendar entries, tasks, documents, notes, bills and custom fields are all reachable, and webhooks notify you when key records change. For a firm that wants to automate its own account, there is no partner gate: register an app, connect with OAuth 2.0, and start.

The quirks are operational. Clio runs separate regional hosts, so the app, the tokens and the API base URL must all match the firm's region. Webhooks expire and must be renewed, which surprises teams that set them up once. Rate limits apply per access token and return 429 when exceeded (Clio documents a default of 50 requests per minute during peak hours, higher off-peak, subject to change), so bulk backfills need pacing. And Clio's custom fields, practice areas and matter numbering differ per firm, so mapping comes before building.

## The AI layer

Clio holds the matter. AI helps lawyers and staff move faster around it:

- **Intake**, reading a prospective client's message and producing a structured summary, conflict-check search terms and a draft engagement next step.
- **Time capture**, turning the day's calendar and email into draft entries so billable work is not lost.
- **Reading**, summarizing long documents and correspondence into what changed and what is due.
- **Drafting**, such as reminders, status updates and first-pass contract issue lists.

Lawyers stay responsible for the work. Every model output is a draft until a person approves it.

## Limits to plan around

- **Client confidentiality.** Treat matter data as privileged. Vet each vendor's data terms, limit what each step sends, and keep a record of which tools touch client information. ABA and state bar guidance on generative AI expects this diligence. This is not legal advice.
- **Trust accounting.** Keep automation away from trust account movements. Reminders and reports are fine; posting trust transactions is not.
- **Regions and tokens.** Use the right regional host and store refresh tokens securely.
- **Webhook expiry.** Schedule renewal or poll as a backstop.

## How Lumeor typically connects it

For most firms we run n8n with a Clio OAuth credential, a webhook receiver plus a daily renewal job, an LLM step for summaries or drafts, and review in Outlook or Teams before anything is written back. The [law firm intake guide](/guides/automate-client-intake-for-law-firms/) and [time entry drafting guide](/guides/ai-time-entry-drafting-for-professional-services/) cover the two highest-value builds. Firms on [MyCase](/tools/mycase/) can use the same patterns with a different API. ## Frequently asked questions

### Does Clio have an open API?

Yes. Clio Manage has a documented REST API (v4). A firm or developer registers an app on Clio's developer portal, uses OAuth 2.0 to connect a Clio account, and can read and write matters, contacts, activities, tasks, documents, bills and more. Listing an app in Clio's App Directory for other firms is a separate application.

### Is it safe to send client files from Clio to an AI model?

It can be, if the firm has vetted the vendors. Lawyers have a duty to protect client confidences and to understand the technology they use, and ABA and state bar guidance on generative AI says so. Use providers with clear data terms (OpenAI and Anthropic do not train on API data by default), send only what a task needs, and keep logs inside the firm's control. Check your own jurisdiction's rules.

### Does Zapier work with Clio?

Yes, Zapier has a Clio Manage app with triggers and actions for common records. Check the current trigger list, and remember a Zap acts with the permissions of the Clio user who connected it. For high volume or multi-step logic we move to n8n or custom code.

### Why did my Clio webhooks stop firing?

Clio webhooks have an expiry date, defaulting to a few days and capped at 31 days. When one expires, events stop with no error on your side. Run a daily job that extends any webhook close to expiry.

### Clio has its own AI features. Do we still need custom work?

Maybe not. Check what Clio's built-in AI covers on your plan first. Custom automation earns its place for firm-specific intake rules, your own contract playbooks, or workflows that cross into systems Clio does not connect to.
