# OneDrive AI automation and integrations

> OneDrive is automated through Microsoft Graph, which uses OAuth 2.0 via a Microsoft Entra ID app registration, and n8n, Zapier and Make all have built-in OneDrive integrations. The most useful AI automations read documents dropped into watched folders, extract fields into other systems, file and rename documents, and answer questions over your files with permission-aware retrieval.

- Vendor: https://www.microsoft.com/en-us/microsoft-365/onedrive
- How to connect: Built-in n8n Microsoft OneDrive node; Zapier and Make apps; Microsoft Graph API; Graph change notifications; Power Automate connector
- Authentication: OAuth 2.0 through a Microsoft Entra ID app registration, with delegated or application permissions
- Notes: Application permissions such as Files.Read.All need tenant admin consent and reach every user's OneDrive, so scope them carefully. Personal OneDrive accounts and OneDrive for Business behave differently in a few Graph endpoints, so test against the account type you actually use.

## What you can automate with OneDrive

- **Watched-folder document extraction.** When a PDF or scan lands in an intake folder, extract the fields with an LLM, validate them and write the result to a spreadsheet, database or business system. Guide: https://www.lumeor.studio/guides/ai-document-data-extraction/
- **Vendor invoice drop folder.** Let staff or vendors save invoices to one OneDrive folder and turn each file into a draft bill with the original attached. Guide: https://www.lumeor.studio/guides/automate-invoice-processing-with-ai/
- **Client document collection.** Create a per-client upload folder, track which documents have arrived against a checklist and send reminders for what is missing. Guide: https://www.lumeor.studio/guides/ai-accounting-firm-client-document-collection/
- **Contract filing and routing.** Classify incoming agreements, rename them to a standard pattern, move them into the right client folder and alert the reviewer. Guide: https://www.lumeor.studio/guides/automate-contract-intake-and-routing/
- **Question answering over team files.** Index selected folders into a retrieval system that respects each user's file permissions and answers questions with links to the source documents. Guide: https://www.lumeor.studio/guides/build-rag-knowledge-assistant/
- **Offboarding file handover.** When an employee leaves, inventory their OneDrive, share or move business files to their manager and log what was transferred. Guide: https://www.lumeor.studio/guides/automate-employee-offboarding/

## What makes OneDrive easy to automate

Everything in OneDrive is a driveItem in Microsoft Graph: files, folders, their metadata, sharing links and permissions. The same API covers OneDrive and SharePoint document libraries, so a workflow written for one usually ports to the other with a different drive ID. n8n, Zapier and Make all ship OneDrive integrations, which covers most "new file in folder, do something" flows without code.

The harder part is identity, not files. Every call runs as either a signed-in user (delegated permissions) or the app itself (application permissions), and an IT admin has to approve the Entra ID app. Budget a conversation with whoever owns your Microsoft 365 tenant before the build starts.

## The AI layer

OneDrive stores documents. AI earns its place when those documents need to become something else:

- **Extraction.** Reading invoices, forms, contracts or delivery notes and turning them into structured records. See [how to extract data from documents with AI](/guides/ai-document-data-extraction/).
- **Classification and filing.** Deciding what a file is, renaming it consistently and moving it to the right place.
- **Retrieval.** Answering questions across folders, with citations, through a [RAG knowledge assistant](/guides/build-rag-knowledge-assistant/).

Before building retrieval, check whether Microsoft 365 Copilot already covers the need. We compare the options in [Microsoft 365 Copilot vs ChatGPT Enterprise](/compare/microsoft-copilot-vs-chatgpt-enterprise/).

## Limits to plan around

- **Throttling.** Graph returns 429 or 503 with a Retry-After header when you push too hard. Microsoft does not publish one fixed OneDrive number, so honor Retry-After and avoid tight polling loops.
- **Change notifications expire.** Subscriptions on drive items last under 30 days and must be renewed. Notifications tell you that something changed, not what; you follow up with a delta query to get the actual changes.
- **Large uploads.** Small files upload in a single request, but larger files need a resumable upload session. Workflows that generate big exports should use sessions from the start.
- **Permission trimming.** An assistant indexed with an admin account can leak files a user should not see. Retrieval must filter by the asking user's permissions.

## How Lumeor typically connects it

For single workflows we use the n8n OneDrive node with a delegated or narrowly scoped credential, an LLM step for extraction or classification, and a validation step in code. For organization-wide indexing we register a dedicated Entra ID app, use change notifications plus delta queries, and store embeddings in Postgres with pgvector alongside each file's permission data. If your team prefers to stay inside Microsoft tooling, we weigh that in [n8n vs Power Automate](/compare/n8n-vs-power-automate/) terms before choosing.

## Frequently asked questions

### Can n8n watch a OneDrive folder for new files?

Yes. n8n has a built-in Microsoft OneDrive node and a OneDrive trigger that can watch for new or updated files and folders. For tenant-wide or high-volume cases we often switch to Graph change notifications plus a delta query, which scales better than polling many folders.

### Do I need Power Automate to automate OneDrive?

No. Power Automate is convenient if your team already lives in Microsoft 365, but n8n, Zapier, Make and custom code all reach OneDrive through Microsoft Graph. The deciding factors are usually where the rest of the workflow runs and who will maintain it.

### If we have Microsoft 365 Copilot, do we still need a custom assistant over OneDrive?

Often not for simple questions about your own files, since Copilot already searches content you can access. A custom build makes sense when you need answers in another channel, structured outputs written to other systems, a different model, or tight control over exactly which folders are in scope.

### Is it safe to give an automation access to OneDrive?

It can be, if permissions are narrow. Prefer delegated permissions or a dedicated service account limited to the folders the workflow needs, avoid tenant-wide application permissions unless there is a real reason, and log every file the automation reads or moves.
