# Toast AI automation and integrations

> Toast can be automated for reporting and operations, but write access is restricted. US restaurants get standard API access as part of Toast's Restaurant Management Essentials subscription, which gives read-only credentials for their own locations, while writing to Toast requires a partner integration or a custom arrangement through Toast. The best AI automations read Toast data for daily sales flashes, labor and sales alerts, menu performance reviews and accounting summaries.

- Category: Industry Systems
- Vendor: https://pos.toasttab.com/
- How to connect: Toast standard API access (read-only); Toast partner integrations; Toast Integrations Marketplace; Report exports
- Authentication: Client ID and secret created in Toast Web, exchanged for an access token. Partner integrations use credentials issued after Toast approves the partner.
- Notes: As of 2026, Toast says standard API access is included in Restaurant Management Essentials for US customers and billed as a standalone subscription elsewhere. It is read-only. Requests are per location, so multi-location groups query each restaurant. Write access is arranged through approved partners or a custom integration request to your Toast representative.

## What you can automate with Toast

- **Daily sales flash.** Pull yesterday's orders and payments per location, compare to the same day last week, and send managers a short written summary before opening. Guide: https://www.lumeor.studio/guides/automate-weekly-ops-reporting/
- **Labor versus sales alerts.** Compare scheduled and clocked labor to sales during service and flag locations running heavy, with a suggested cut.
- **Menu performance review.** Rank items by sales and margin across locations and have a model explain what moved and which items to rethink. Guide: https://www.lumeor.studio/guides/ai-financial-report-summaries/
- **Accounting summaries.** Summarize daily sales, tips, discounts and payment types into journal-ready totals for the bookkeeper to post. Guide: https://www.lumeor.studio/guides/automate-month-end-close-reporting/
- **Inventory and ordering prompts.** Use item sales to estimate usage of key ingredients and alert the kitchen manager when an order is likely needed. Guide: https://www.lumeor.studio/guides/ai-inventory-reorder-alerts/
- **Void and discount anomaly checks.** Flag unusual voids, comps and discounts by server or shift so managers review them while the shift is still fresh.

## What makes Toast easy or hard to automate

Toast holds the data restaurant operators care about most: orders, payments, menus, labor and cash. Since Toast introduced standard API access, a restaurant can get credentials to its own data without becoming a technology partner. That is a real improvement over the days when only partners could integrate.

The catch is that standard API access is read-only. Plan to develop against live data carefully unless Toast gives you a test environment. Every request targets a single location, which matters for groups with many restaurants. Confirm with Toast whether webhooks are available for your credentials; otherwise, schedule reads.

Anything that writes to Toast, such as pushing online orders in or changing the menu, belongs to the partner integration program, which has an application and certification process. For a restaurant group, that usually means the answer is an existing marketplace integration rather than custom work.

## The AI layer

Restaurant managers do not lack data. Toast reports are detailed. What they lack is time between services. AI helps by:

- **Writing the summary.** A few sentences each morning saying what sold, what was slow, where labor ran heavy and which location needs attention.
- **Explaining changes.** Cross-checking a sales dip against day part, weather, menu changes and staffing to suggest a cause worth checking.
- **Spotting oddities.** Flagging voids, discounts and comps that look unusual for a server or shift, with the context a manager needs.
- **Turning data into tasks.** Converting a usage trend into an ordering reminder or a menu review agenda.

Calculations stay in code. The model gets finished numbers and writes about them, so it never invents a total.

## Limits to plan around

- **Read-only access.** Standard API access cannot create or change anything in Toast. Design workflows that read Toast and write elsewhere.
- **Per-location requests.** Multi-unit groups need a loop over locations and should expect more requests and longer runs.
- **Testing on live data.** Test with narrow date ranges on a single location before scheduling a group-wide job.
- **Business dates.** Restaurants that close after midnight have orders that belong to the previous business day. Use Toast's business date, not the timestamp, for daily reporting.

## How Lumeor typically connects it

We set up standard API access with the owner, store the credentials in n8n, and pull orders, labor and menu data on a schedule into a small database or [Google Sheets](/tools/google-sheets/). Code calculates the numbers, a model writes the summary, and it lands in email or Slack before opening. For accounting, we compare the Toast marketplace options for [QuickBooks Online](/tools/quickbooks-online/) or Xero first and only build what they miss. Our [weekly ops reporting guide](/guides/automate-weekly-ops-reporting/) shows the reporting pattern we reuse.

## Frequently asked questions

### Can I get API access to my own Toast data?

Yes. As of 2026, Toast includes standard API access in Restaurant Management Essentials for US customers. You create read-only credential sets and choose which locations each one can see. Check Toast's current terms, since eligibility and packaging change.

### Can an automation write orders or menu changes into Toast?

Not with standard API access, which is read-only. Writing data requires Toast's partner integration program, which has an application and certification process, or a custom integration that you request through your Toast account representative or Customer Support. For most restaurants, read-only data covers the reporting and alerting that matters.

### Does n8n or Zapier have a Toast integration?

n8n has no built-in Toast node, so we call the Toast API through n8n's HTTP Request node on a schedule. For accounting, payroll and reservations, check the Toast Integrations Marketplace first, since an existing integration is usually better than a custom one.

### Can AI predict how much to prep or order?

It can give a useful estimate, with limits. Recent item sales, day of week and known events produce a reasonable forecast in code, and a model can explain it in plain language. It will not know about a sudden catering order or a closed road, so keep the kitchen manager in the loop.
