# Trello AI automation and integrations

> Trello is easy to automate through its REST API, authenticated with an API key plus a user token, and n8n, Zapier and Make all have built-in Trello integrations. Good AI automations create cards from emails and forms, turn meeting notes into checklists and write weekly board digests. Limits are 300 requests per 10 seconds per API key and 100 per 10 seconds per token.

- Category: Project Management
- Vendor: https://trello.com/
- How to connect: Built-in n8n Trello node and trigger; Zapier and Make apps; Trello REST API; Webhooks; Power-Ups
- Authentication: API key from the Power-Up admin portal plus a user token, with OAuth 1.0a for apps that request tokens from other users
- Notes: The token carries the permissions of the member who granted it, including access to every board they can see unless scoped. Create a dedicated Trello member for automations and add it only to the boards it needs.

## What you can automate with Trello

- **Email to card.** Turn incoming requests into cards with a clean title, a short summary, labels and a due date chosen by an LLM within your rules. Guide: https://www.lumeor.studio/guides/ai-email-to-task-automation/
- **Meeting notes to checklists.** Extract action items from a meeting transcript and add them as checklist items or cards on the team board. Guide: https://www.lumeor.studio/guides/ai-meeting-summaries-and-action-items/
- **Weekly board digest.** Summarize cards moved to Done, cards stuck in a list too long and overdue cards, and post the digest to Slack or email. Guide: https://www.lumeor.studio/guides/automate-project-status-updates/
- **Maintenance request intake.** Create a card per tenant or facility request with urgency, location and photos, routed to the right list. Guide: https://www.lumeor.studio/guides/automate-tenant-maintenance-requests/
- **Content calendar drafting.** When a card enters a "Drafting" list, generate social posts from the brief and attach them for review. Guide: https://www.lumeor.studio/guides/automate-social-media-scheduling-with-ai/
- **Onboarding boards.** Copy a template board for each new hire or client and set due dates from the start date. Guide: https://www.lumeor.studio/guides/automate-employee-onboarding/

## What makes Trello easy to automate

Trello's model is small: boards, lists, cards, labels, checklists, members, attachments and custom fields. The REST API is simple and predictable, and n8n, Zapier and Make all have Trello integrations. Webhooks can be attached to any model, such as a board, list or card, and fire on every action on it, which suits "when a card moves to this list, do something" flows.

The limits are in what Trello represents. There are no native task dependencies or rich reporting, and custom fields are a Power-Up with separate API calls. Automations that need complex structure end up storing it in card descriptions or external systems.

## The AI layer

Trello works best for small teams and simple pipelines, so AI should keep the board tidy rather than add complexity:

- **Card creation** from email, forms and chat, as in [turning emails into tasks with AI](/guides/ai-email-to-task-automation/).
- **Digests** of board movement for owners and clients, following [automated project status updates](/guides/automate-project-status-updates/).
- **Drafting** content attached to cards, such as social posts from a brief or a reply to a request.

A workflow should pass the model your actual list and label names so it picks valid ones. Validate before writing.

## Limits to plan around

- **Rate limits**: 300 requests per 10 seconds per API key and 100 per 10 seconds per token. The members endpoint has a tighter limit of 100 requests per 900 seconds.
- **Webhook validation.** Creating a webhook triggers a check of the callback URL, and Trello disables webhooks that keep failing.
- **Webhook signatures.** Verify the HMAC signature using your app secret and the exact callback URL.
- **Custom fields.** Reading and setting them requires extra calls per card, which adds up on large boards.

## How Lumeor typically connects it

For most Trello clients we use the n8n Trello node and Trello Trigger with a dedicated automation member, an LLM step that returns card fields as JSON, and validation against cached list and label IDs. Digests run on a schedule. For property managers we sometimes use Trello as the dispatch board for [tenant maintenance requests](/guides/automate-tenant-maintenance-requests/) before they outgrow it.

## Frequently asked questions

### Does n8n work with Trello?

Yes. n8n has a built-in Trello node for boards, lists, cards, checklists, labels and attachments, and a Trello Trigger node that creates webhooks for you. The credential is the same API key and token pair the REST API uses.

### Why does Trello reject my webhook URL?

When you create a webhook, Trello checks the callback URL by sending a request and expects a 200 response. If your endpoint is not public yet, requires auth or returns an error, creation fails. Verify incoming webhooks with the X-Trello-Webhook signature header.

### Should I use Butler or an external automation?

Trello's built-in automation (Butler) is the right tool for rules inside a board, like moving cards or adding checklists on triggers. Use n8n, Zapier or Make when the workflow reads from email, forms or other apps, or when it needs an AI step.

### Is Trello enough for a growing team?

For simple Kanban work, yes. When you need dependencies, portfolio reporting, complex permissions or heavy automation, teams usually move to Jira, Asana or ClickUp. Moving later is manageable if card data stays clean.
