What this workflow does
- Hourly, 8am to 8pm starts a run.
- Get recent reviews reads the latest 50 reviews for one Google Business Profile location using n8n’s built-in node.
- Keep new or edited reviews skips reviews that already have an owner reply or that were handled before. It remembers each review’s last update time, so an edited review comes back once. At most 20 are processed per run.
- Classify and draft reply asks Claude for topics, sentiment, whether staff are named, whether the review is sensitive (safety, health, discrimination, legal threats), and a two to four sentence reply. A strict JSON schema shapes the output.
- Validate draft and route rejects drafts that offer refunds, discounts or other compensation, include an email address or phone number, are too short or long, or leave out your offline contact line on a review of three stars or fewer. Refusals, truncated replies and responses with no text block are reported too.
- Loop Over Items handles one review at a time.
- Manager approval in Slack shows the review, flags and draft with Approve and post and Reject buttons, and waits up to 24 hours.
- Post reply on Google publishes approved replies only.
- Log review appends the review, reply and decision to Google Sheets.
- Needs follow-up ticket? opens a Zendesk task for any review of three stars or fewer, or any sensitive review, through Create follow-up ticket.
- Alert: review needs attention receives every failure.
Nothing is posted publicly without a person clicking Approve.
Before you import
- A current n8n version, cloud or self-hosted.
- Google Business Profile API access approved for your Google Cloud project. Apply early, as approval takes time; an unapproved project shows a quota of 0 requests per minute.
- A Zendesk API token, a Google Sheet for the log, an Anthropic API key and a Slack app that can post to your approval and alert channels. By default the approval buttons open an n8n confirmation page, so Slack interactivity is not required.
Setup
- Import the JSON and attach credentials: Google Business Profile OAuth2 on both review nodes, Anthropic on the Claude node, Slack on both Slack nodes, Zendesk on the ticket node, Google Sheets on the log node.
- Replace
REPLACE_WITH_GBP_ACCOUNT_ID(formataccounts/123) andREPLACE_WITH_GBP_LOCATION_ID(formatlocations/456) in both review nodes. - Replace
REPLACE_WITH_CONTACT_LINEin the Claude system prompt and in Validate draft and route with the exact sentence you use to take complaints offline. - Replace
REPLACE_WITH_APPROVAL_CHANNEL,REPLACE_WITH_ALERTS_CHANNELandREPLACE_WITH_LOG_SHEET_ID, and add aReview logtab with the headers listed in the note. - Adjust the reply rules in the system prompt for your business and industry.
Test it
Activate the workflow (handled-review memory only persists in active executions) and wait for the next hour, or run it manually against a location with a few recent unanswered reviews. Check the Slack previews, reject one and approve one. The approved reply should appear on Google, both should be logged, and a Zendesk task should exist for any low rating.
Make it production-ready
- Keep approval on. Run with approval on everything for at least four weeks, and keep negative reviews on approval permanently.
- Edits. Track how often managers reject positive drafts before considering narrow auto-posting.
- Multiple locations. Read location IDs from a sheet and loop, with a channel per location manager.
- Error workflow. Add an n8n error workflow; a failure mid-loop stops the remaining approvals in that run.
- Rate limits and quotas. The Business Profile API has per-project quotas, so keep the hourly schedule and the 20-review cap.
- Never use the workflow to buy, fake or selectively request reviews.
