Project Management

Smartsheet AI automation and integrations

The short answer

Smartsheet has a REST API authenticated with API access tokens or OAuth 2.0, plus sheet-level webhooks. Zapier and Make have built-in Smartsheet apps, and n8n connects through its HTTP Request node. Useful AI automations clean and summarize sheet data, feed form and field reports into sheets and write weekly status reports. The API allows 300 requests per minute per token, and API access requires a qualifying plan.

What you can automate with Smartsheet

Construction daily reports

Turn field notes, photos and voice memos into structured daily report rows with weather, crew, work done and issues.

Read the build guide
Weekly operations report

Summarize what changed across project sheets, including slipped dates, at-risk rows and completed milestones, for leadership.

Read the build guide
Project status updates

Draft a status narrative for each project from its sheet and post it to the project's summary or to email.

Approval routing

Route new request rows to approvers based on amount and department, and record the decision and timestamp back on the row.

Form submissions to sheets

Validate and enrich external form entries before adding them as rows, so the sheet does not fill with incomplete data.

Sheet data cleanup

Standardize names, categories and free-text fields across large sheets with AI suggestions written to a review column.

What makes Smartsheet automatable, with care

Smartsheet looks like a spreadsheet but behaves more like a database. Sheets have typed columns with stable IDs, rows with IDs and parent-child hierarchy, and cell-level history. The REST API can add, update and move rows in bulk, read reports and dashboards, and manage attachments and discussions. Webhooks fire on sheet changes. Zapier and Make both have Smartsheet apps, while n8n uses HTTP Request nodes.

The care is needed because people edit the same sheets. Columns get renamed, rows get reordered and formulas get overwritten. Integrations must address columns by ID, avoid writing to formula or system columns, and handle locked rows and columns. Also confirm early that your plan includes API access.

The AI layer

Smartsheet often runs operations in construction, professional services and PMOs. AI is valuable on both sides of the sheet:

  • Into the sheet: turning field notes, emails and forms into clean rows, such as construction daily reports.
  • Out of the sheet: summarizing a hundred rows of status into five sentences a director will read, as in weekly operations reporting.
  • Cleanup: suggesting standardized values for messy columns without overwriting the originals.

The model writes text and suggestions. Dates, owners and statuses are set by code from validated values.

Limits to plan around

  • 300 requests per minute per token, with a ten-times multiplier on attachments and cell history.
  • Plan gating of API access.
  • Webhook flow. New webhooks are verified with a challenge to your callback URL, and payloads list changed IDs rather than values.
  • Sheet size. Very large sheets slow down for users and for the API. Archive completed rows or move history to a database.
  • Regional hosts. Use the right API base URL for EU or Gov accounts.

How Lumeor typically connects it

We create a dedicated Smartsheet integration user, use HTTP Request nodes in n8n with a small library of row and column helpers, and cache column IDs per sheet. Webhook callbacks feed a queue that fetches changed rows in bulk. When Smartsheet is being stretched into a system of record for many integrations, we discuss moving the data layer, using the trade-offs in no-code vs custom-code automation.

Frequently asked questions

Does n8n have a Smartsheet node?

Not a built-in one. n8n connects to Smartsheet through the HTTP Request node with a bearer token or OAuth 2.0 credential, and a Webhook node receives Smartsheet callbacks. Zapier and Make both have built-in Smartsheet apps.

What is the Smartsheet API rate limit?

The standard limit is 300 requests per minute per access token. Some operations, such as uploading attachments and reading cell history, count as ten requests each. Exceeding the limit returns a 429 error, so batch row operations and back off on errors.

Why do Smartsheet webhooks not include the changed data?

Smartsheet callbacks are deliberately small. They report which rows, columns or cells changed, and your workflow fetches the current values. This keeps payloads light, but it means each callback can trigger a few follow-up API calls.

Should I use Smartsheet's own automations instead?

For alerts, reminders, approvals and moving rows within Smartsheet, the built-in workflows are usually enough. Use an external workflow when data comes from or goes to other systems, or when you need AI to read, summarize or classify sheet content.
