Comparison

n8n vs Zapier

The verdict

Choose Zapier when non-technical teams need simple automations across the widest set of apps with zero maintenance. Choose n8n when workflows are complex, run at high volume, involve AI agents, or must run on your own infrastructure. Many companies use both, with Zapier for quick team-level zaps and n8n for core business processes.

Choose n8n if

  • Your workflows have many steps, branches or loops
  • You run thousands of executions a month and task-based pricing is getting expensive
  • You are building AI agents that need tools, memory and model choice
  • Your data must stay on infrastructure you control
  • You have someone technical to own the workflows

Choose Zapier if

  • Non-technical teams will build and maintain their own automations
  • You need a connector for a niche app that n8n does not have
  • Volumes are low and simplicity matters more than cost
  • You want zero hosting or maintenance responsibility

The short version

Zapier is the easiest way for anyone in a company to connect two apps. n8n is a workflow engine for teams that need control: over logic, over cost at scale, over AI behavior, and over where data lives.

The decision usually comes down to two questions. Who will build and maintain the automations? And how complex and high-volume are they?

Where n8n wins

Complex workflows. n8n handles branching, looping over items, merging data from several sources and calling sub-workflows naturally. When you need custom logic, a code step runs JavaScript or Python inline.

Cost at scale. Because a whole run counts once, a 15-step workflow that runs 10,000 times a month is far cheaper on n8n than the equivalent 150,000 Zapier tasks. Self-hosting removes execution fees entirely, leaving only server costs.

AI agents. n8n’s agent tooling lets you give a model tools such as CRM lookups or database queries, attach memory, and choose providers including OpenAI and Anthropic. You can see every intermediate step, which matters when debugging an agent.

Data control. Self-hosted n8n runs in your own cloud account. For healthcare, finance and legal clients, that often decides the question.

Where Zapier wins

Breadth of integrations. Zapier has the largest catalog of prebuilt app connectors. If your workflow depends on a niche SaaS tool, check Zapier first.

Non-technical builders. Marketing, sales and operations people can build reliable zaps without help. That self-service value is real and n8n does not match it.

No maintenance. There is nothing to host, patch or monitor at the platform level.

What we recommend

For most growing companies we recommend a split. Let teams keep Zapier for small, personal and departmental automations. Move the core business processes, anything high-volume, AI-driven or touching sensitive data, into n8n with proper error handling, logging and ownership.

Lumeor builds and maintains n8n workflows for clients, and we will tell you when Zapier is the better answer.

Frequently asked questions

Is n8n cheaper than Zapier?

At meaningful volume, usually yes. Zapier counts every action step as a task, while n8n cloud counts a whole workflow run as one execution, and self-hosted n8n has no execution fees. For a handful of simple zaps, Zapier's lower tiers can cost the same or less once you count the time to run n8n.

Is n8n harder to use than Zapier?

Yes, somewhat. n8n exposes the data flowing between steps and expects you to understand JSON and expressions. That is what makes it more powerful. Teams with an operations engineer or a technical partner pick it up quickly.

Which is better for AI agents?

For production agents we generally prefer n8n. Its AI Agent node supports tool calling, memory and multiple model providers, and you can drop into code when needed. Zapier's AI features are faster to try but give you less control over prompts, tools and costs.

Can I migrate from Zapier to n8n?

Yes. There is no automatic converter, so each zap is rebuilt as a workflow. Most zaps map one to one, and multi-zap chains often collapse into a single n8n workflow. See our Zapier to n8n migration guide for the process.
