Aircall AI automation and integrations

The short answer

Aircall is a cloud phone system built for sales and support teams, and it is friendly to automation. Its REST API uses Basic auth with an API ID and token (OAuth for marketplace apps), webhooks cover call, contact, user and message events, and Zapier has a deep Aircall app. n8n connects through the HTTP Request node. The best AI automations log calls to the CRM, coach reps and route callbacks, with a per-company request limit to respect.

What you can automate with Aircall

Call notes to CRM

After each call, write a summary, outcome and next step to the contact and deal, using Aircall's transcript or your own.

Rep coaching

Score calls against your playbook and send each rep a short weekly note with two quoted moments and one suggestion.

Callback routing

Turn missed calls and voicemails into prioritized callback tasks assigned to the right rep or queue.

Support call tagging

Tag support calls by topic and sentiment so you can see what drives call volume and fix the cause.

What makes Aircall easy to automate

Aircall’s API is small and predictable. Calls, users, teams, numbers, contacts, tags and comments are all REST resources, and an admin can create an API ID and token in a few minutes. Webhooks cover the call lifecycle (created, answered, ended, voicemail left, tagged, commented) plus contacts, users and messages, so a workflow can start the moment a call ends.

Aircall also integrates natively with the major CRMs and helpdesks. That means the “log the call” part often already works, and custom automation can focus on the content of the call.

The main constraint is the per-company request limit. It is shared by every integration using your Aircall account and is low enough that a careless backfill or tight polling loop will hit it.

The AI layer

Aircall captures and routes calls. The AI handles what was said:

  • Summaries that update records. A model turns a transcript into a summary, a disposition and structured fields such as budget, timeline or product interest.
  • Coaching. Managers get a short list of calls worth reviewing, chosen against your playbook rather than at random.
  • Voice of the customer. Tagging support calls by topic shows which product issues create the most phone volume.
  • Priority callbacks. Missed calls from open deals or key accounts jump the queue.

Ask reps to confirm AI-written notes for the first few weeks. Accuracy improves fastest when people correct it.

Limits to plan around

  • Per-company rate limit. All endpoints share one per-minute budget per company. Use webhooks, cache lookups and pace backfills.
  • Transcript availability. Recordings and transcripts appear after the call ends and depend on your plan and settings. Retry with a delay instead of failing.
  • Webhook verification. Check the webhook token on each event and ignore anything that does not match.
  • Consent. Recording and AI processing rules vary by state and country. Announce recording where required; this is not legal advice.

How Lumeor typically connects it

Our usual setup receives Aircall call.ended webhooks in n8n, waits for the transcript or recording, runs an LLM step to produce a summary and structured fields, and writes them to the CRM through its own node. Coaching runs as a nightly batch. The CRM data entry from calls guide and the sales call coaching guide cover the details. For simple flows, Zapier’s Aircall app may be enough; our n8n vs Zapier comparison helps you decide.

Frequently asked questions

Does n8n have an Aircall node?

Not a dedicated one at the time of writing. n8n works with Aircall through the HTTP Request node using Basic auth with the API ID and token, and a Webhook node receives Aircall events. Zapier has a large Aircall app covering calls, contacts, users, messages and AI insights.

Aircall syncs to HubSpot and Salesforce already. What would we automate?

The native sync logs that a call happened. Custom automation adds what the rep would otherwise type, such as a structured summary, next step, deal field updates, and a follow-up task, and it can push data into systems Aircall does not integrate with.

Should we use Aircall's AI features or build our own?

Start with Aircall's built-in transcription and summaries if your plan includes them. Build custom when you need summaries in your own format, coaching against your specific playbook, or analysis that joins call data with CRM and support data.

How do we avoid hitting Aircall's API limit?

Use webhooks for new events instead of polling, fetch call details once per call, and run historical backfills slowly in the background. The limit is per company across all apps, so check what other integrations are already using it.
