Freshsales AI automation and integrations

The short answer

Freshsales (Freshworks CRM) is automatable through a REST API that authenticates with a per-user API key, with an hourly request limit per account shared by every user and integration. n8n ships a Freshworks CRM node and Zapier has a Freshsales app, and workflows can call webhooks on record changes. The best AI uses are lead qualification, enrichment, call notes from the built-in phone, follow-up drafting and Freshdesk-to-CRM sync.

What makes Freshsales easy to automate

Freshsales covers contacts, accounts, deals, tasks, appointments and sales activities, with built-in email, phone and sequences. The REST API follows the same structure and uses a simple API key, so getting a first workflow running is quick. n8n ships a Freshworks CRM node and Zapier has a Freshsales app.

Freshsales workflows can call a webhook when a record is created or updated, which gives you near-real-time triggers without polling. Because the phone and email live inside Freshsales, much of the conversation data an AI workflow needs is already attached to the record.

The AI layer

Freshsales already offers Freddy AI on some plans. Custom AI around it is useful where you need your own rules or data from outside Freshworks:

  • Qualification and routing that read what a lead wrote, not only form picklists. See how to build an AI lead qualification agent.
  • Call capture from the built-in phone into notes, tasks and suggested deal updates.
  • Follow-up drafting grounded in the last real interaction.
  • Support context. Ticket history from Freshdesk summarized onto the account so reps know about problems before they call.

AI writes to notes and dedicated custom fields. Deal stage and value change only after a rep confirms.

Limits to plan around

  • Hourly limit. Requests are capped per account per hour (1,000 in Freshworks’ API docs), and all users and integrations share the cap. Bulk updates need pacing and backoff.
  • Classic vs current platform. Accounts on the older classic Freshsales platform use a different domain, plan names and limits. API paths in old examples may not match your account.
  • Per-user keys. API keys belong to users and inherit their permissions. Use an integration user so automation does not break when someone leaves.
  • Plan-gated features. Workflows, sequences, custom modules and Freddy features vary by plan. Check yours before designing around them.
  • No n8n trigger. Start workflows from a Freshsales workflow webhook or a schedule.

How Lumeor typically connects it

We set up an integration user and API key, use a Freshsales workflow webhook to start n8n on record changes, and write back with the Freshworks CRM node or HTTP Request. AI steps use Claude or OpenAI’s GPT models with output fields mapped to your custom fields. For teams also on Freshdesk, we usually build the CRM and support workflows together so the account picture is consistent. Our workflow automation cost guide explains how these projects are priced.

Frequently asked questions

Does n8n have a Freshsales node?

Yes. n8n's Freshworks CRM node covers accounts, contacts, deals, appointments, notes, sales activities and tasks. It does not include a trigger, so workflows usually start from a Freshsales workflow that calls an n8n webhook URL, or from a schedule that checks for recently updated records.

What are the Freshsales API rate limits?

Freshworks' API documentation sets the limit at 1,000 requests per hour per account, and exceeding it returns HTTP 429. The limit is shared by every user and integration on the account. Ask Freshworks whether your plan or an add-on raises it before you design a high-volume sync.

Should we use Freddy AI or build our own?

Freddy, Freshworks' built-in AI, covers lead scoring, deal insights and writing help on plans that include it. Start there for in-app help. Build your own when you want scoring rules you control, data from outside Freshworks, or outputs written to specific fields and logged for review.

Can AI connect Freshdesk tickets to Freshsales deals?

Yes. A workflow can match tickets to CRM accounts by email domain, summarize recent support history onto the account, and alert the owner when tickets suggest churn risk or an upsell. Freshworks also offers native links between the two products; we add AI where you want summaries and alerts.
