SharePoint AI automation and integrations

The short answer

SharePoint is where many Microsoft 365 companies keep policies, contracts and project files, which makes it the main source for internal AI assistants. Microsoft Graph reaches sites, lists and document libraries with Entra ID OAuth, and n8n, Zapier, Make and Power Automate have SharePoint integrations. The best AI automations are permission-aware knowledge assistants, document extraction and contract routing. Use Sites.Selected for least-privilege access and plan for throttling.

What you can automate with SharePoint

Permission-aware knowledge assistant

Answer staff questions from SharePoint libraries, returning only content the asking user is allowed to open, with links to sources.

Read the build guide
Document extraction from libraries

When a file lands in an intake library, extract key fields with a model and write them to library columns or another system.

Read the build guide
Contract intake and routing

Classify uploaded contracts, extract parties, value and renewal date into metadata, and route to the right reviewer.

Read the build guide
Policy and compliance monitoring

Track policy review dates and certificates stored in SharePoint and notify owners before documents go stale.

Read the build guide
List-based approvals

Use a SharePoint list as the record for requests and run approvals in Teams, writing decisions back to the list.

HR policy assistant

Answer employee questions from the HR site's handbook and policy pages, with escalation to HR for anything personal.

What makes SharePoint easy or hard to automate

Through Microsoft Graph, SharePoint is three things: sites, lists and document libraries (drives). Lists behave like simple database tables with typed columns. Libraries hold files plus metadata columns. Graph can create and update list items, upload and download files, set metadata, and search across sites. Delta queries return what changed since the last sync, and change notifications can alert a workflow when a list or library changes.

The difficulty is the environment rather than the API. Real SharePoint tenants have years of sites, inconsistent folder structures, broken inheritance on permissions, and duplicate copies of the same policy. An AI assistant built on that will confidently cite the 2019 version. Cleanup and source selection are part of the project.

Permissions are the other hard part. Granting an app tenant-wide read access is easy and risky. The Sites.Selected permission lets an admin grant an app access to specific sites only, which is what we recommend.

The AI layer

SharePoint holds the content. The AI makes it findable and actionable:

  • Answering questions. Retrieval over chosen libraries, with citations, turns a search problem into a one-line answer.
  • Filling metadata. Models can classify documents and fill library columns such as document type, client and expiry date, which also improves search.
  • Routing documents. Contracts, invoices and requests arriving in a library get extracted, summarized and sent to the right reviewer.

Choose sources deliberately. Fewer, current, well-owned libraries produce better answers than indexing everything.

Limits to plan around

  • Throttling. SharePoint throttles per app and tenant and returns 429 or 503 with a Retry-After header. Large initial indexing jobs must pace themselves and run off-hours.
  • Permission complexity. Broken inheritance and sharing links make “who can see this” hard to compute. Test the assistant with accounts that have limited access.
  • Subscription lifetimes. Graph change notification subscriptions on lists last under 30 days and must be renewed. Pair them with delta queries.
  • Legacy auth. Anything still using ACS secrets or SharePoint Add-ins needs moving to Entra ID apps.

How Lumeor typically connects it

We usually register one Entra ID app per integration with Sites.Selected, granted to the specific sites in scope. Workflow automations run in n8n or Power Automate. Knowledge assistants run as a small service that syncs chosen libraries with delta queries into a vector store, storing permissions with each chunk, and serves answers through a Microsoft Teams bot. Frequently asked questions

Does n8n work with SharePoint?

Yes. n8n has a built-in Microsoft SharePoint node that can upload, download and update files and create, read, update, upsert and delete list items. For search, permissions or change tracking, the HTTP Request node calls Microsoft Graph with the same Entra ID credential.

Can an AI assistant respect SharePoint permissions?

Yes, but it has to be designed in. Either query as the signed-in user so Microsoft enforces access, or store each document's permissions with its indexed content and filter results by the asking user's groups. An assistant that ignores permissions can leak salary files or legal documents.

Why not just use Microsoft 365 Copilot over SharePoint?

If you have Copilot licenses and the need is personal Q&A over files, try it first. A custom assistant is worth it when you need control over which sources are used, consistent answers with citations, access for people without Copilot licenses, or actions in systems outside Microsoft 365.

Our SharePoint integration uses an old app-only secret. Is that a problem?

Probably. Microsoft retired Azure ACS for SharePoint Online and the SharePoint Add-in model on April 2, 2026. Integrations built that way should move to an Entra ID app registration using Microsoft Graph, ideally with the Sites.Selected permission.
