Xero AI automation and integrations

The short answer

Xero is easy to automate. It has a well-documented REST API with OAuth 2.0 and integrations in n8n, Zapier and Make. Plan around per-organization minute and daily call limits (long-standing defaults of 60 per minute and 5,000 per day, lower for uncertified apps), Xero's tiered developer pricing that took effect in March 2026, and terms that bar using API data to train AI models. The best AI uses are bill capture, reconciliation suggestions, collections and plain-English reports.

What you can automate with Xero

AI bill capture

Read supplier invoices from an inbox, extract fields with an LLM, match the contact and create draft bills with the PDF attached.

Read the build guide
Reconciliation suggestions

Suggest matches and account codes for unreconciled bank lines using payee history and your chart of accounts, for a bookkeeper to approve.

Read the build guide
Collections follow-up

Find overdue invoices each morning and send reminders written for each customer's history, escalating politely over time.

Read the build guide
Bill approval routing

Route draft bills to the right approver in Slack or Teams by amount and cost center, then approve them in Xero when signed off.

Plain-English monthly reports

Pull the profit and loss and balance sheet, compare against last month and budget, and write a short summary for owners.

Receipt capture

Turn photographed receipts into categorized spend money transactions or draft bills with the image attached.

Cash flow outlook

Combine open invoices, bills and bank balances into a 13-week cash view with a written note on the weeks to watch.

What makes Xero easy to automate

Xero’s Accounting API covers the objects a bookkeeper touches every day: contacts, invoices, bills, credit notes, bank transactions, payments, accounts, tracking categories and reports. Responses are consistent, the documentation is clear, and webhooks notify you of contact and invoice changes so workflows can react instead of polling.

n8n, Zapier and Make all ship Xero integrations, so many automations need no custom code. Custom code becomes worth it for high volume, multi-organization consolidation, or reconciliation logic too complex for a visual workflow.

The AI layer

Xero stays the system of record. AI does the reading, suggesting and writing around it:

  • Reading documents that need to become Xero records, such as supplier invoices and receipts. See how to automate invoice processing with AI.
  • Suggesting decisions a bookkeeper would make, like the right account code or the likely match for a bank line. Our bank reconciliation guide covers the review step.
  • Writing for people, such as collection emails and monthly summaries.

The model proposes and code checks. Totals, tax, duplicate invoice numbers and contact matches are validated deterministically before anything is written, and records start as drafts.

Limits to plan around

  • Per-organization limits. Each connected organization has minute, daily and concurrent call limits (long-standing defaults of 60 calls per minute and 5,000 per day), and your app has an overall per-minute limit. Xero lists lower daily limits for uncertified apps, so check its current limits page for your plan. A daily sync that fetches every invoice one by one will hit the daily cap. Use paging, modified-since filters and batch creates.
  • Developer pricing tiers. Since March 2026 Xero charges for API access in tiers by connections and data egress, and premium endpoints such as journals require higher tiers. Check what your integration needs before committing.
  • AI training restriction. Xero’s terms prohibit training AI or ML models on API data. Inference is fine; fine-tuning on your ledger is not.
  • Webhook payloads are thin. Webhooks say which record changed, not what changed. Your workflow fetches the record afterward, which counts against the limits.
  • Token refresh. Access tokens last about 30 minutes and refresh tokens rotate. Mishandled refresh is the most common reason a Xero integration silently stops.

How Lumeor typically connects it

For most clients we run n8n with the Xero node plus HTTP Request for the endpoints it does not cover, an LLM step for document reading or writing, and a validation step in code. Exceptions go to Slack or Teams for the bookkeeper. Clients on QuickBooks Online get the same pattern with different nodes, which helps firms that support both.

Frequently asked questions

Can I use AI with Xero data under Xero's developer terms?

Using a model to read, classify or summarize data for your own workflow is a normal integration. What Xero's developer terms prohibit is using data obtained through its APIs to train AI or machine learning models. Use model providers that do not train on API data by default, such as OpenAI and Anthropic, and do not fine-tune on Xero data.

Does n8n work with Xero?

Yes. n8n ships a Xero node for contacts and invoices. For bank transactions, payments, accounts, reports and other endpoints, the HTTP Request node can call the Xero API using the same OAuth credential, so one connection covers the whole workflow.

Do Xero's 2026 developer pricing changes affect a small business integration?

Possibly. Since March 2026 Xero prices developer apps in tiers based on the number of connected organizations and data volume, and some endpoints sit only in higher tiers. A single-company integration usually fits a low tier, but check the current tier rules before you build, especially if you need journals data.

Will automation create a mess in my Xero file?

Not if it creates drafts first. We create bills and invoices in draft status, validate totals and tax in code, block duplicates by supplier and invoice number, and log every write. Your accountant can see and reverse what the automation did.
