The short version
This decision is mostly about your software stack. If your company runs on Microsoft 365, Power Automate is already partly paid for, sits inside your tenant and is governed by IT. If your company runs on Google Workspace and a spread of SaaS tools, Zapier connects more of them with less effort.
The second question is who builds. Zapier is built for anyone. Power Automate is built for Microsoft-literate staff and IT.
Where Zapier wins
Breadth of SaaS connections. Zapier connects to more cloud apps than any other platform. For a company whose CRM, help desk, billing and marketing tools are all non-Microsoft, Zapier covers more ground on day one.
Speed for business teams. A marketing manager can build and ship a working Zap in an afternoon, with no license planning or IT ticket.
Simple billing. You pay for tasks. Triggers, filters and paths are free. There is no split between standard and premium connectors to plan around.
Zapier’s extra tools. Tables, Forms, Interfaces and Zapier Agents let small teams build lightweight internal tools and AI helpers next to their automations.
Where Power Automate wins
Deep Microsoft integration. Outlook, Teams, SharePoint, OneDrive, Excel and Dataverse triggers are rich and run under your tenant’s identity and permissions. Approval flows in Teams are a standout. See our internal approvals guide for a typical pattern.
Licenses you may already own. Many Microsoft 365 plans include cloud flows with standard connectors, so simple automations add no new spend.
Desktop flows. Power Automate can drive legacy Windows applications through RPA, attended on a user’s machine or unattended on a server or Microsoft-hosted machine. Zapier has nothing comparable.
Governance. IT can separate environments, enforce data loss prevention policies on which connectors can mix, and manage access through Entra ID. For regulated companies this is often the deciding factor.
On-premises reach. The on-premises data gateway lets cloud flows read and write internal SQL databases and file shares without opening them to the internet.
What we recommend
Microsoft-first companies should standardize on Power Automate for anything touching Outlook, Teams and SharePoint, and plan premium licensing honestly up front. Companies on Google Workspace and mixed SaaS should start with Zapier.
When workflows get complex, AI-heavy or high-volume, neither may be the cheapest home. Compare with n8n vs Power Automate and n8n vs Zapier. If you are not sure where to start, our AI readiness assessment maps your processes to the right platform.
