Cognito Forms AI automation and integrations

The short answer

Cognito Forms is a good automation source for calculation-heavy and multi-step forms because it posts full entry data as JSON on submit, update and delete, and it has a Power Automate connector published by Cognito Forms plus a REST API. JSON webhooks need a Pro, Team or Enterprise plan. AI adds value by reading uploaded documents, checking entries against policy and drafting summaries for reviewers, while repeating sections and entry updates need careful handling.

What makes Cognito Forms easy or hard to automate

Cognito Forms is popular with finance, nonprofit, government and professional services teams because it handles calculations, repeating sections, conditional logic, payments and signatures without code. It also has entry workflow features: roles, statuses and actions that move an entry from submitted to reviewed to approved inside Cognito.

For automation, the JSON webhook is the main path. You can set separate endpoints for submit, update and delete, and each post contains the whole entry, including file and signature links and any generated documents. That full payload saves an API call, unlike tools that send only an ID.

Microsoft-centric teams get a second path: the Power Automate connector, with triggers for new, updated and deleted entries and actions to create and update entries. The REST API rounds it out for custom code.

The difficulty is structure. Calculated fields, nested sections and repeating sections produce deep JSON, and the same form can send an update webhook many times as an entry moves through review.

The AI layer

Cognito forms tend to collect documents and numbers that someone must check. AI does the first pass:

  • Document checks. A model reads an uploaded insurance certificate or W-9 and confirms the name, dates and coverage match the entry.
  • Policy checks. Requests are compared with written rules, such as spending thresholds or eligibility criteria, and anything that fails is flagged with the reason.
  • Reviewer summaries. A long application becomes a short summary at the top of the approval message, so approvers can decide without opening the entry.

Calculations stay in Cognito, where they are deterministic. The model reads and explains; it does not do the math.

Limits to plan around

  • Plan gating. JSON webhooks require a Pro, Team or Enterprise plan, and the Power Automate connector needs a paid subscription.
  • Temporary file links. Links to files and documents in the payload expire. Download and store files as part of the workflow.
  • Update storms. Every edit or status change can fire the update webhook. Track the entry version or status and ignore updates that do not change anything you care about.
  • Deep JSON. Nested and repeating sections need explicit mapping. Test with entries that use every section and the maximum number of rows.
  • Government clouds. The Power Automate connector is not available in GCC, GCC High, DoD or China environments.

How Lumeor typically connects it

For Microsoft 365 clients we use the Power Automate connector for simple routing and approvals in Teams, and call an AI step for document checks. For mixed stacks we post JSON webhooks to n8n, store entries and repeating rows in Postgres, and run document extraction with a model before writing to accounting or the CRM. The vendor onboarding guide shows the full flow. If you need generated documents and e-signature as one product, compare Formstack, and for HIPAA intake at scale, Jotform.

Frequently asked questions

Does Cognito Forms work with Power Automate?

Yes. Cognito Forms publishes a Power Automate connector with triggers for new, updated and deleted entries and actions to create, update and retrieve entries. It needs a paid Cognito Forms subscription and is not available in US Government or China cloud environments.

Does n8n have a Cognito Forms node?

Not a dedicated one that we rely on. We set the form's JSON webhook to post to an n8n Webhook node, and use the HTTP Request node with the REST API to update entries or fetch files.

Can we use Cognito Forms for HIPAA data?

Cognito lists HIPAA compliance as an Enterprise plan feature. Confirm with Cognito whether it will sign a BAA for your account, and make sure the automation platform and AI provider downstream are also covered by BAAs. This is not legal advice.

How should we handle repeating sections?

Repeating sections arrive as arrays of objects, one per row, such as line items or household members. Store them in a child table linked to the entry rather than flattening them into numbered columns, and have the model process each row separately when it needs to check them.
