Accounting & Payments

FreshBooks AI automation and integrations

The short answer

FreshBooks is invoicing and accounting software for service businesses, and its REST API with OAuth 2.0 and webhook callbacks makes time-to-invoice and collections automation practical. n8n has no built-in FreshBooks node, so we use the HTTP Request node, while Zapier has a FreshBooks app. Plan around single-use refresh tokens. The best AI uses are time entry drafting, collections reminders, receipt capture and monthly summaries.

What makes FreshBooks easy, and awkward, to automate

FreshBooks is built for service businesses that bill clients for time and projects. Its API covers clients, invoices, estimates, payments, expenses, items, projects and time entries, and it sends webhook callbacks when records change. Zapier has a FreshBooks app for simple workflows.

Two things make it awkward. First, n8n has no built-in node, so workflows use HTTP Request with an OAuth2 credential. Second, the API is split: accounting resources such as invoices and clients are addressed by an account ID, while projects and time tracking are addressed by a business ID. Workflows that touch both need to store both IDs, which trips people up the first time.

The AI layer

FreshBooks users are usually small firms where the owner does the billing. The best AI work gives that time back:

  • Time capture. Draft time entries from calendars, email and task tools so nothing billable is missed. See how to draft time entries with AI.
  • Getting paid. Reminders written for each client rather than one blunt template. Our collections guide covers escalation rules.
  • Receipts and expenses. Extraction and categorization with a quick review.
  • A monthly read-out. A short summary of the month that an owner will actually read.

The model drafts and suggests. Invoices and time entries are created as drafts or held for review, and amounts and client matches are validated in code.

Limits to plan around

  • Single-use refresh tokens. Only one refresh token is alive per user per app. Centralize token refresh or connections will break.
  • Two kinds of IDs. Accounting endpoints use the account ID and project and time endpoints use the business ID. Fetch both from the identity endpoint once.
  • Webhook verification. FreshBooks verifies new webhook callbacks before sending events. Your endpoint must handle the verification step and check signatures on incoming events.
  • Rate limits. FreshBooks applies request limits; back off on 429 responses and avoid fetching every record on each run.
  • Plan features. Projects, time tracking and team features vary by plan. Check whether your plan includes the features and API access your workflow relies on.

How Lumeor typically connects it

We register a FreshBooks app, store the OAuth credential in n8n so refresh happens in one place, and use HTTP Request nodes for reads and writes. Webhook callbacks trigger workflows for new invoices and payments. AI steps use Claude or OpenAI’s GPT models with outputs checked against client and project lists before a draft is created. Firms that outgrow FreshBooks often move to QuickBooks Online, and we can carry the same workflows across.

Frequently asked questions

Does n8n have a FreshBooks node?

No. n8n does not ship a built-in FreshBooks node. We connect with the HTTP Request node and an OAuth2 credential, which handles the authorization flow. Zapier has a FreshBooks app if you prefer a no-code connector for simple triggers like new invoices or new clients.

Why does my FreshBooks connection keep disconnecting?

Usually because two tools refreshed the same token. FreshBooks refresh tokens are single-use and only one is valid at a time per user and app, so when one workflow refreshes, any other copy of the old token stops working. Use one credential store that every workflow reads from.

Can AI write my time entries in FreshBooks?

It can draft them. A workflow can read calendar events, sent email and task updates, group them by client and project, and propose entries with clear descriptions. A person reviews and submits them. That review keeps billing accurate and avoids charging clients for work that did not happen.

Is FreshBooks or QuickBooks better for automation?

QuickBooks Online has broader integration support, including built-in nodes in n8n, Zapier and Make. FreshBooks is simpler and well suited to service businesses that bill time, and its API covers what most of them need. If heavy automation and accountant tooling matter most, QuickBooks Online has the edge.
