Workday has capable APIs, but everything passes through its security model. An integration typically runs as an integration system user that belongs to an integration security group, and that group gets permissions on specific security domains. Report-as-a-Service turns any custom report into a web service, which is the most practical way to read data. The SOAP Web Services cover most write operations, and the REST APIs, which use OAuth API clients registered in the tenant, are growing.
This model is good for security and slow for projects. Each change involves your Workday security admin, policy changes must be activated, and tenants have semiannual feature releases that need regression testing. Software vendors typically need Workday partner access for development tenants and documentation. We plan admin time and approvals explicitly.
The AI layer
Workday holds the official record. AI makes that record usable for more people:
- Questions. HR leaders asking about attrition by department or time-to-fill without waiting for a report request. Our natural-language SQL reporting guide covers the warehouse pattern.
- Employee support. An HR policy assistant that answers routine questions so HR partners handle the hard ones.
- Drafting. Job descriptions and manager-owned review drafts, with people deciding the content.
AI in hiring needs care. Follow EEOC guidance on discrimination risk, and if you hire in New York City, Local Law 144 requires bias audits and notices for automated employment decision tools.
Limits to plan around
- Security configuration. Missing domain permissions show up as empty fields or authorization errors. Test reports with the integration user, not an admin account.
- Tenant specifics. URLs, report names and custom fields differ per tenant. Production and sandbox tenants need separate configuration.
- Release cycles. Workday ships major releases twice a year. Retest integrations in the preview tenant.
- Volume. Large RaaS reports can be slow. Filter with prompts and run off-hours.
- Sensitive data. Use constrained security groups where possible, and keep compensation and personal data out of model prompts unless required.
How Lumeor typically connects it
We work with the client’s Workday admin to create an integration system user, a constrained security group and RaaS reports for exactly the fields needed. n8n or a small service pulls those reports on a schedule into Snowflake or Postgres, and AI features sit on top of the warehouse rather than calling Workday directly. Write-backs, when needed, use the SOAP or REST APIs with tight scopes. If you are comparing who should build this, read AI studio vs big consulting firm.
Frequently asked questions
What is the easiest way to get data out of Workday?
For most reporting, a custom report enabled as a web service (Report-as-a-Service) is the simplest route. Your Workday admin builds the report, shares it with an integration system user, and the workflow fetches it as JSON or CSV on a schedule. Writing data back to Workday needs the SOAP or REST APIs.
Do we need a Workday partner to build integrations?
A company can build integrations for its own tenant with its Workday admin's help, using an integration system user and security groups. Software vendors serving many Workday customers usually join Workday's partner program for development tenants and support. Either way, your Workday security admin is involved.
Does n8n connect to Workday?
n8n has no built-in Workday node. We call RaaS URLs and REST endpoints with the HTTP Request node, using the integration system user's credentials or an OAuth API client. SOAP calls also work through HTTP Request with an XML body, though they take more care to build.
Can AI write performance reviews in Workday?
It can help a manager turn their own notes into a draft, which the manager edits and submits. It should not generate assessments from data the manager did not provide, and it should not make or suggest employment decisions. Review your HR and legal policies on AI use before rolling this out.
Does Workday have its own AI features?
Yes. Workday includes AI features and agents inside the platform. Use them where they fit. Custom work makes sense for questions that combine Workday with other systems, for assistants in your own Slack or Teams, and for workflows across tools Workday does not manage.
